Job Description: Administrative Assistant

The Administrative Assistant role will work closely with our Executive team and Leadership team to ensure day to day tasks are given attention and completed in a timely and accurate fashion. The individual is also responsible for ensuring process roadblocks or recommendations for improvement are documented and escalated to help our company successfully navigate growth. The Administrative Assistant will work independently performing a wide range of confidential administrative and clerical duties. This position requires excellent communication and interpersonal skills. Also critical is the ability to provide information and service to a wide range of internal and external contacts. The Administrative Assistant will report to the Chief Operations Officer.

Responsibilities/Functions

  • Performing office duties that include ordering supplies, scheduling appointments, coordinating meetings
  • Manage records and assist with record auditing and clean up
  • Prepare reports, collect data, and analyze information
  • Assist with hiring: new candidate tracking and interview scheduling
  • Maximize executive’s time by drafting letters and documents, collecting and analyzing information, providing meeting options
  • Schedule appointments, meetings, and reservations as needed
  • Makes travel arrangements for executive staff
  • Provide general administrative support and recommendations to improve company workflows or processes

Skills and Personal Attributes

  • Proven experience as an administrative assistant or other relevant administrative support experience.
  • In-depth understanding of Google Applications or MS Office suite
  • Interest and eagerness to learn new skills and tools, desire to teach others
  • Ability to organize a daily workload by priorities
  • Must be able to meet deadlines in a fast-paced quickly changing environment
  • Excellent interpersonal communication skills, ability to effectively maintain sensitive information
  • Strong analytical and problem solving skills
